Title: Sales Office Assistant
Report to: Office Manager
Purpose of Position: Provide office support to the administrative staff. Ensure a high level of customer satisfaction through excellent customer service. Plan and coordinate sales events and functions. Receive and make sales calls. Order and maintain all supplies. Data entry and filling.
Essential Functions/Duties/Responsibilities:
Daily:
- Answering customer service calls
- Incoming/Outgoing Sales calls
- Quality Assurance
- Keeping Daily/Weekly & Monthly Statistics
- Scheduling of client services and employee schedules
- Handle all customer complaints timely and professionally. Arrange re-cleans and follow ups.
- Maintaining accurate call logs for sales
- Filing, data entry
- Receive and process invoices and receipts
- Charging Credit/Debit Cards daily
Weekly/Monthly/Yearly:
- Administrative duties to include:
- Correspondence as needed
- Keep office neat, trash removed and organized and clean/vac office weekly
- Invoice Commercial Clients - 15th Month
- Maintaining accurate client records on companies databases (Zenmaid/Jobber/Keap (correct tags) and in house Excel Spreadsheet)
- Run errands as needed & assist all office locations with operational needs
- Plan, organize and execute all community events - Cleaning for a reason, Coats drives, Food drives, Pet Drives, etc.
- Manage and schedule maintenance for all equipment and schedule repairs as needed
- Manage and order tools, supplies and uniforms
- Order office supplies
- Prepare cleaning tools/supplies and totes for technicians
- Manage all social media posts (Google My Business, Hootsuite, Canvas, NextDoor, Instagram,
- Facebook, C4R Campaigns) etc
- Other duties as assigned
Job Requirements:
- Must be flexible for office coverage
- Knowledge of industry practices and protocols
- Knowledge of social media outlets for customer service and advertising
- Proficiency in Microsoft Office and data entry
- Minimum of 2 years sales experience
- Min of 2 years office experience
- Must be 21 or older
- Must have a valid AZ DL and current vehicle insurance
- Must be able to pass a background check
- Must be able to pass a pre-employment drug screen
